Start with the operation

A medical practice and a professional office may need different things from the same building. Prepare a space brief before comparing addresses: intended activities, staff numbers, patient or client visits, room layout, equipment, operating hours and target occupancy date. Separate requirements that are essential from preferences that can change.

Compare the arrival experience

Walk the route your patients, clients and staff would actually use. Record parking arrangements, drop-off access, entrance visibility, elevators, signage and the distance from the arrival point to the suite. Visit at the hours that matter to your operation. Ask the owner to confirm the arrangements in writing rather than relying on a photograph or a general building description.

Check the suite before pricing the fit-out

Ask for a current plan and a clear description of the delivery condition. Have the relevant professionals review the intended use, accessibility, building systems and any specialty equipment needs. A prior medical occupant or an office address does not establish that your proposed activity is approved. The SBA identifies local zoning as a location-selection consideration; medical accessibility guidance is available from the Department of Justice.

Compare the complete occupancy proposal

Use a common period and measurement basis for each option. Record base rent, additional charges, parking, improvement responsibilities, concessions, deposits, delivery assumptions and renewal provisions. Put unresolved terms in a separate column. A lower asking rent can still lead to a larger commitment if the required work or retained expenses differ.

For owners

Prepare a dated suite plan, delivery description, confirmed access arrangements and a list of matters requiring professional review. Explain what is known and what remains conditional. That makes tenant comparisons more useful and reduces the risk of promising a configuration the property cannot deliver.
